How to Convert Word Tables to LaTeX: booktabs, longtable, and Troubleshooting

Last updated: October 26, 2026 Tested with Word to LaTeX web converter on October 26, 2026 (Pandoc 3.10 WASM; no TeX engine in our test environment)

Word tables often prove challenging to reproduce in LaTeX. Automatic exports can result in text running past the page margin, unresolved command errors, or misaligned merged headers.

This guide demonstrates how Microsoft Word tables translate into LaTeX, analyzes actual output generated by the in-browser Pandoc WebAssembly engine, explains package requirements, and provides solutions for common compilation errors.

Worked Example: Simple Word Table Conversion

To understand how Word tables translate into LaTeX markup, consider a standard three-column experimental results table generated from our test fixture (table_simple.docx):

Source Table Content (from DOCX Fixture)

Trial Voltage (V) Current (mA)
1 3.30 12.4
2 5.00 28.1
3 12.00 64.5

Actual Converter Output (Verbatim)

Passing this document through the Word to LaTeX converter produced the following LaTeX markup:

{\def\LTcaptype{none} % do not increment counter
\begin{longtable}[]{@{}
  >{\raggedright\arraybackslash}p{(\linewidth - 4\tabcolsep) * \real{0.3333}}
  >{\raggedright\arraybackslash}p{(\linewidth - 4\tabcolsep) * \real{0.3333}}
  >{\raggedright\arraybackslash}p{(\linewidth - 4\tabcolsep) * \real{0.3333}}@{}}
\toprule\noalign{}
\begin{minipage}[b]{\linewidth}\raggedright
Trial
\end{minipage} & \begin{minipage}[b]{\linewidth}\raggedright
Voltage (V)
\end{minipage} & \begin{minipage}[b]{\linewidth}\raggedright
Current (mA)
\end{minipage} \\
\midrule\noalign{}
\endhead
\bottomrule\noalign{}
\endlastfoot
1 & 3.30 & 12.4 \\
2 & 5.00 & 28.1 \\
3 & 12.00 & 64.5 \\
\end{longtable}
}

Structural Breakdown of the Generated Markup

  • Environment: The output uses longtable rather than basic tabular. In Pandoc's model, tables are wrapped in longtable so that multi-page data sets break across pages automatically.
  • Rule Commands: It uses \toprule, \midrule, and \bottomrule from the booktabs package. Notice that vertical grid lines (such as |l|c|r|) are avoided in accordance with typographical standards.
  • Column Specifications: Columns use p{...} paragraph widths computed with \real{0.3333}. This requires the calc and array packages to evaluate mathematical lengths relative to \linewidth.
  • Header Repeating: \endhead marks the repeating header row on subsequent pages, while \endlastfoot defines the terminating rule.

Wide Tables: 9-Column Regional Summary Fixture

When converting documents with many columns (such as our 9-column test fixture table_wide.docx), the converter outputs relative width specifications using the calc package:

\begin{longtable}[]{@{}
  >{\raggedright\arraybackslash}p{(\linewidth - 16\tabcolsep) * \real{0.1111}}
  % ... repeated across 9 columns ...
  >{\raggedright\arraybackslash}p{(\linewidth - 16\tabcolsep) * \real{0.1111}}@{}}

Because each column declares >{\raggedright\arraybackslash}p{(\linewidth - 16\tabcolsep) * \real{0.1111}}, the table scales proportionally within \linewidth without horizontal page overflow. However, allocating approximately 11% width per column means multi-word cells (such as “Active Users” or “US East (VA)”) wrap heavily onto multiple lines. In such scenarios, rotating the table into landscape mode using \usepackage{pdflscape} or reducing font size provides greater readability.

Approaches to Table Conversion

1. Full Document Conversion

When migrating an entire paper, convert the complete DOCX file using either desktop Pandoc CLI (as documented in the Pandoc User's Manual: pandoc input.docx -o output.tex) or the web-based Word to LaTeX converter. Inspect the output to verify whether tables were emitted as longtable or table floats.

2. Isolated Single-Table Conversion

If you only need to extract one table from a large manuscript, copying that table into a temporary Word document and running it through the converter avoids sorting through hundreds of lines of prose.

3. Direct Manual Adjustments

For concise tables with few rows, replacing computed p{(\linewidth - ...)} specs with simple alignment characters (such as \begin{tabular}{lrr}) is often faster than debugging complex layout dimensions.

Package Requirements Derived from Real Output

Rather than guessing preamble requirements, the commands present in the generated LaTeX dictate the necessary LaTeX packages:

Command or Environment Required LaTeX Package Observed in Test Fixtures
\toprule, \midrule, \bottomrule \usepackage{booktabs} Yes (in all 3 fixtures)
\begin{longtable} \usepackage{longtable} Yes (in all 3 fixtures)
\real{0.3333} (fractional width calculation) \usepackage{calc} Yes (in all 3 fixtures)
>{\raggedright\arraybackslash} \usepackage{array} Yes (in all 3 fixtures)
\multirow{2}{=}{...} (vertical cell merging) \usepackage{multirow} Yes (in table_merged.docx)
\multicolumn{2}{...}{...} (horizontal cell merging) LaTeX kernel command Yes (in table_merged.docx)

Common Errors and Explicit Solutions

Error Message Underlying Cause Explicit Fix
Undefined control sequence \toprule The booktabs package is not loaded in the preamble. Add \usepackage{booktabs} to your document preamble.
Undefined control sequence \multirow Table contains vertically merged cells without the required package. Add \usepackage{multirow} to your document preamble.
Undefined control sequence \real Pandoc emitted fractional column widths using the calc syntax. Add \usepackage{calc} to your document preamble.
Misplaced alignment tab character & An unescaped ampersand appears in text, or a row contains more cells than declared. Escape literal ampersands as \& and confirm the count of & delimiters matches (columns − 1).
Missing $ inserted An unescaped underscore (_) or caret (^) appears in text outside math mode. Escape as \_ or wrap mathematical expressions in dollar signs ($x_1$).
Table runs past the right margin Fixed-width pasted or manual tables (such as tabular{lllllllll}) exceed page boundaries because natural column widths exceed \linewidth. In contrast, Pandoc's generated relative-width p{(\linewidth - ...)} columns fit within \linewidth without horizontal overflow, but narrow column widths cause multi-word cell text to wrap heavily. For fixed-width overflow, switch to relative p{...} or tabularx with X columns, reduce font size with \small, or rotate wide tables using \usepackage{pdflscape} with \begin{landscape}. For heavily wrapped narrow columns, switch to landscape mode or reduce margins.

Merged Cells: What Our Test Fixture Produced

Merged cells require particular attention because Word and LaTeX handle cell spans differently. When testing our merged-header fixture (table_merged.docx), the converter generated both horizontal and vertical merge commands:

\multirow{2}{=}{\begin{minipage}[b]{\linewidth}\raggedright
Config
\end{minipage}} & \multicolumn{2}{>{\raggedright\arraybackslash}p{(\linewidth - 6\tabcolsep) * \real{0.5000} + 2\tabcolsep}}{%
\begin{minipage}[b]{\linewidth}\raggedright
Latency (ms)
\end{minipage}} & \multirow{2}{=}{\begin{minipage}[b]{\linewidth}\raggedright
Throughput (rps)
\end{minipage}} \\
& \begin{minipage}[b]{\linewidth}\raggedright
p50
\end{minipage} & \begin{minipage}[b]{\linewidth}\raggedright
p99
\end{minipage} \\
  • Column Merges: Handled using standard \multicolumn{2}{spec}{content}.
  • Row Merges: Generated using \multirow{2}{=}{content}, which requires \usepackage{multirow} in your preamble. Notice that the subsequent row begins with an empty cell (&) to account for the vertically spanning column.

Special Characters, Math, and Table Captions

  • Special Characters in Cells: Characters like %, &, _, and # carry syntactic meaning in LaTeX. The converter automatically escapes them (for example, our wide table fixture converted 0.02% into 0.02\%). Check that literal symbols were not converted into layout separators.
  • Captions and Cross-References: In Word, table captions are often plain paragraphs placed above or below the grid. In LaTeX, tables within floats should use \caption{Table Title} and \label{tab:results} so they can be referenced with \ref{tab:results} in the text.

Limitations

Automated conversion cannot infer specialized journal formatting guidelines, nor can it resolve extreme table widths without human intervention. In our testing environment, no native TeX compiler was present; verify table syntax and packages in your TeX editor or Overleaf before submitting.

Final Table Checklist

  • Inspect column count: verify that the number of & delimiters per row equals the declared column count minus one.
  • Check for booktabs commands: include \usepackage{booktabs} whenever \toprule, \midrule, or \bottomrule appear.
  • Confirm longtable, array, and calc packages are included in your preamble for computed width tables.
  • If your table includes vertically merged cells, ensure \usepackage{multirow} is loaded.
  • Verify special character escaping (\%, \&, \_).
  • Compile the document and inspect visual alignment and page margins.
